Privacy Policy
Last updated 9 September 2026. Quiet Kindness Haven provides the Quiet Kindness app and the website at quietkindnesshaven.com. Where the Privacy Act 1988 (Cth) applies to us, we handle personal information in line with that Act and the Australian Privacy Principles. Quiet Kindness Haven is the entity responsible for the personal information described here, and decides how it is handled.
A note before you read
This policy is written in plain English so it is actually readable. It is not legal advice, and it is not a promise that we have been assessed against every law that might apply to us. Before public launch it should be reviewed by a qualified Australian privacy professional, especially because Quiet Kindness may hold information about women's wellbeing.
Who is responsible for your information
Quiet Kindness Haven is the legal business behind the Quiet Kindness app and the website at quietkindnesshaven.com, and is the data controller for the personal information described in this policy. That means Quiet Kindness Haven decides what is collected, why, and how it is handled, and is accountable for it. Our service providers act only as processors on our instructions. You can reach us about anything in this policy at hello@quietkindnesshaven.com.
Payments
Membership payments are processed securely by our payment provider. The provider collects and holds the information needed to take a payment, including your billing name, billing country, tax details and card information, and handles that transaction information under its own privacy notice. We never see or store your card details. We receive only a record that a membership is active, its plan and its period of access. Our legal basis for handling this limited payment record is performance of our contract with you and our legal obligation to keep tax and accounting records.
A few words, defined
Account means the private space you create when you sign in. Personal information means information that identifies you or could reasonably identify you, such as your email address. Wellbeing information means the things you choose to write or record about how you are feeling. Usage data means the technical information collected automatically when you visit, such as the pages you view. Service provider means a trusted company that processes information on our behalf to help us run Quiet Kindness. Website means quietkindnesshaven.com and the Quiet Kindness app. Cookies means small pieces of information stored in your own browser or device, including similar storage technologies.
What we collect
Account information: your email address, the name you choose to be called, your timezone and language, the stage of motherhood you choose, and your settings.
Wellbeing information: what you write in your journal and any photos you attach, your check ins, tiny wins, weekly reflections, what you say to the companion, and anything you ask us to remember. This may be sensitive information about your health and feelings. We collect it only because you choose to write it.
Waitlist information: if you join our early access list, the email address you give us, so we can write to you when there is something to share.
Technical information: sign in records, security events such as password changes, and the usage data described below.
We do not ask for your date of birth, we do not use security questions, and we never see or store your card details.
Usage data collected automatically
When you visit the website, our hosting and security systems automatically receive technical information such as your IP address, browser type and version, device type, operating system, the pages you visit, the date and time of visits, rough time spent on pages, the page that sent you to us, and diagnostic information when something goes wrong. We use this to operate and secure the website, to troubleshoot problems, to understand in aggregate what is helping visitors, and to improve the experience. We do not use it to identify you personally or to advertise to you.
Why we collect it, and our basis for doing so
We collect account information so you can have an account and so the app can work for you. We hold wellbeing information so that your own writing is there when you come back, and so the app can offer gentler, more relevant support. We use waitlist information to send the communications you asked for, and enquiry information to respond to you. We keep technical information to run the website, protect accounts, prevent misuse and fix problems. We also use and keep some information to meet legal and regulatory obligations and to handle requests you make about your own information. Our basis is your consent, given by choosing to write or to turn a setting on, together with what is reasonably necessary to provide the service you have asked for and to meet our legal obligations. You can withdraw consent by turning a setting off or deleting your account.
General account information and sensitive wellbeing information
We treat these differently. Account information is used to run the service. Wellbeing information is treated as sensitive: it is kept behind rules that limit it to your own account, it is never used to market to you, it is never sold, and our administrators cannot read it. Administrators can only see counts and totals, never your words.
How the companion uses information
When you write to the companion, what you write, and a short recent history of that conversation, is sent to an artificial intelligence service so a reply can be written. It is not used to train public models. The companion is not a therapist, never diagnoses, and will point you to professional or emergency help when something sounds unsafe. Personalisation and memory are settings you control, and nothing becomes a remembered note unless you ask for it.
How your information is stored and protected
Your information is held in a managed, access controlled database. Journal photos are kept in private storage that only your account can open. Passwords are stored only as a one way hash by our authentication provider, and backup codes are stored the same way. You can add authenticator codes for another layer of protection. Access rules on every table limit personal rows to the account that created them. No system can be perfect, but we take reasonable technical and organisational steps to protect your information.
Who we may share it with
We share personal information only with service providers who help us run Quiet Kindness, and only as far as they need it: our hosting and database provider, our authentication provider who manages sign in securely, our email sending provider, the artificial intelligence service that writes companion replies, and our payment provider, who handles payment, billing, tax and receipts for membership and holds the transaction information relating to your purchase. We may also share information with professional advisers, or with authorities where the law requires it. We do not sell your information and we do not use it for advertising.
Information held or processed outside Australia
Some of these providers store or process information outside Australia, including in the United States and the European Union. Where that happens we take reasonable steps, and use appropriate safeguards such as the contractual terms we agree with each provider, so that the information is handled consistently with the Australian Privacy Principles. An overseas disclosure is only made where it is needed for the service to work, never as a blanket permission.
How long we keep it
Your account and wellbeing information is kept while your account is open, so it is there when you return. When you delete your account we delete your personal information from our live systems within 30 days, and from routine backups within 90 days. Technical usage data is kept for shorter periods where possible, and may be kept longer only where needed for security, troubleshooting, analytics or legal purposes. Security and sign in records are kept for up to 12 months. Records connected with a payment are kept for 7 years, as Australian tax and record keeping rules require. We may keep information for longer only where the law requires it, or where it is needed for a legal claim or a safety matter.
Cookies and analytics
Necessary storage keeps you signed in and keeps the app secure: a session stored in your own browser or device. Signing in will not work without it. Functionality storage remembers choices you make, such as your settings. Analytics is limited to basic, aggregated usage counts that help us understand what is helping; it does not follow you around the internet. We do not use advertising cookies or third party tracking pixels. Your browser or device settings let you clear or block this storage, though parts of the app may stop working if you block the necessary kind.
Seeing, correcting or deleting your information
Most of your information can be seen and edited inside the app. In Profile you can change your name and settings, clear sensitive content, forget a remembered note, and delete your account and personal information entirely. You can also ask us for a copy of what we hold, or ask us to correct it, by writing to hello@quietkindnesshaven.com. We will respond within a reasonable time, usually within 30 days. If we cannot delete something, for example a payment record we must keep by law, we will tell you why.
When we may have to disclose information
We may disclose personal information without your consent only where it is required or authorised by Australian law, in response to a court order, a lawful request from a government authority or regulator, or in connection with legal proceedings. We may also disclose it where we reasonably believe it is necessary to lessen or prevent a serious threat to someone's life, health or safety, or to protect the rights, safety or property of Quiet Kindness or another person.
External websites and resources
Quiet Kindness sometimes points you to outside resources, such as wellbeing services, health information or crisis support. Those websites are not run by us. They have their own privacy policies, and we encourage you to read them before sharing personal information. We are not responsible for how external websites handle your information.
Children's privacy
Quiet Kindness is made for adults navigating the postpartum season. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please write to us and we will delete it.
If the business changes hands
If Quiet Kindness Haven is ever involved in a merger, acquisition or sale of assets, personal information may be transferred as part of that process. Any new owner would be bound to handle it consistently with this policy, and we would tell you before your information moved.
Making a privacy complaint
If you are unhappy with how we have handled your personal information, write to us at hello@quietkindnesshaven.com with the subject Privacy complaint. We will acknowledge your complaint within 5 business days, look into it, and give you a written answer within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
If we change this policy we will update the date at the top and, for anything significant, tell you in the app or by email. The current version is always available at this page. Small wording improvements may be made without individual notice.
